Golder Ranch County Money

The Golder Ranch County Money tool converts a County Money Excel export into a MIP-ready workbook. It computes the variance for each account, drops rows with no change, looks up Fund / Program / GL / Service Code / Offset from a mapping file, appends session metadata and a Document Number, and inserts an offset row at each change of the Offset code so the entry balances. You then download a single "Processed" tab ready for review.

Input

County Money export (.xlsx, .xls)

Mapping

Account string → codes (.xlsx, .xls, .csv)

Output

Single "Processed" tab .xlsx

Balancing

Offset row per Offset-code group

Step 1.Upload County Money File

Drag and drop your County Money export, or click to browse. Only .xlsx and .xls files are accepted. The first sheet is read automatically.

The tool finds the header row for you: it scans the first 10 rows for a cell in column A that reads ACCOUNT (case-insensitive), ignoring any title rows above it. Columns A through I from that header are carried through to the output.

Use the Reset button (top right) at any time to clear all inputs and start over.

Step 2.Upload Account Mapping File

Upload a mapping file keyed by the full account string (column A). Each row supplies the Fund, Program, GL, Service Code, and Offset values for that account. Accepted formats are .xlsx, .xls, and .csv.

The mapping file may carry a title row before its header. The tool finds the header row by scanning the first 15 rows for one of these tokens (case-insensitive, punctuation ignored): Fund, Program, GL / GL Code, Service Code, or Offset.

For every revenue row in the County Money file, the account string in column A is matched exactly to the mapping. When a match is found, its Fund / Program / GL / Service Code / Offset are written to the output. Rows with a variance but no mapping match are kept with blank mapping values, so totals stay correct.

A Service Code that is a lone "0" is treated as blank and written out empty.

Step 3.Select County

Choose the county the file is for:

  • PIMA COUNTY
  • PINAL COUNTY

The selection is required to process the file. It is also used as the prefix of the Document Number on every output row (County + Date + Fund).

Step 4.Session Settings

Enter the session metadata written to every output row:

  • Session ID — optional identifier (e.g. GRFD-2026-001).
  • Session Description — optional short description of the session.
  • Date — the session date (date picker). It is written to the Date column as m/d/yyyy and used in the Document Number.

Step 5.Process, Review & Download

Click Process File. The tool shows three counts: Rows Kept (rows with a non-zero variance), Offset Rows Added (one per Offset-code group), and Zero Variance Removed (rows dropped because their variance was zero, including 999-rows with no difference).

How variance is computed

Variance (B-I) = Column I (Ending Balance) minus Column B (Opening Balance). Rows whose variance is exactly zero are removed from the output.

Offset rows

An offset row is inserted whenever the Offset column (column O) changes value. The offset row is a copy of the last row of the group with two changes:

  • Column M (GL) is set to the group's Offset code value.
  • Column J (Variance / cash) is set to the negative sum of the group's Column J values, so the group nets to zero.

Document Number

Every output row gets a Document Number built as County + Date + Fund (for example, PIMA COUNTY10/15/2026100).

Output columns

The output keeps the source columns A–I, then appends: Variance (B-I), Fund, Program, GL, Service Code, Offset, Session ID, Session Description, Date, Document Number. A preview of the first 25 rows is shown before you download.

Step 6.Download

Click Download File to save the result. The file is named GRFD_{County}_{SessionID}.xlsx (or GRFD_Output.xlsx when no session ID is set). It contains a single Processed tab with an auto-filter across all columns and Column J formatted as a number.

Tips

  • The County Money file must have a header row with ACCOUNT in column A. Title rows above it are skipped automatically.
  • The mapping file must include a column for each value you want looked up (Fund, Program, GL, Service Code, Offset). Missing columns are left blank in the output.
  • Rows with zero variance are always removed, so the export contains only accounts that actually moved during the period.
  • Each Offset-code group receives exactly one offset row that nets the group to zero. If an account has no Offset code, no offset row is added for it.
  • If an account in the County Money file is not in the mapping file, it is still exported with blank mapping values so the count and totals stay accurate.
  • Use Reset to clear everything and start a new conversion.
